Volunteer Job Descriptions
Meet jobs are available at registration time, however please note some require previous experience and are pre-assigned (Starter and Stroke judges). If you are interested in learning a pre-assigned job or performing a pre-assigned job in the future, talk to a board member.
Swim Meet Job Descriptions
Timers
- There are 2 Timers per lane, sitting either side of the Scribe. (3 timers for prelims and finals).
- Starts stopwatches with the Starter’s signal and stops stopwatches just as the swimmer touches the wall in the pool. Timers must pay close attention at the start and finish of each race.
- The stopwatch times are then given to the Scribe for that lane. Be sure the Scribe has recorded the time correctly before you clear the stop-watch.
- Familiarize yourself with the operation of the stop-watch. If you have a stop-watch malfunction, raise your hand immediately to get the attention of the Back Up Timer who operates 2 control stop-watches.
Back Up Timer:
- The Back Up Timer operates 2 stop-watches for back-up in case a Timer has a malfunction during a heat.
- Start the stop-watches with every race and watch for any Timers seated at the swim lanes who might signal for help by raising their hands. When needed, quickly exchange one of your stop-watches for theirs.
Scribe:
- 1 Scribe per lane who occupies the middle seat (between 2 Timers)
- Responsible for accurately recording all the information of the heat on timecard (swimmer ID number, times from the timers, heat number etc).
- Give timecards to the runners (behind their lane).
- This is a fast paced, integral job. Neat handwriting and accurate recording and the ability to work under pressure are a must!
Ribbon Writer
- 1 Ribbon Writer per lane who stands behind the chairs occupied by the Timers and Scribe.
- Wear a “tool belt” which holds colored ribbons for places 1st thru 8th (at home meets) and 1st thru 6th (away meets)
- Responsible for watching all lanes to determine in which place the swimmer in your lane finishes. It's your best guess and does not affect the standings.
- Take the appropriate ribbon and record swimmers time (from the Scribe’s time card) and the event number on their ribbon, pass to swimmer. Every swimmer gets a ribbon including all 4 swimmers in the relays.
- The swimmer's time is the most important one to record. If a swimmer loses the ribbon, please give them another one.
Runners
- Pick-up the timer cards from the Scribes after each heat and deliver them to the data entry desk.
Event Sign Flipper
- Ensures that the correct event number is displayed on the deck, changing the numbers as each event occurs so that the event showing is current.
- Sends out event info during the meet using the SWIMTOPIA APP. Please have this app installed on your phone PRIOR TO ARRIVING FOR YOUR SHIFT!
Age Group Parents
- Help coaches to round up all swimmers for their races.
- Age Group parents are used for 8 and under swimmers only.
Set-Up
- Brings out chairs, tables, puts up tents, puts up signage, and completes tasks as assigned by board members.
- Must be able to lift heavy items.
Break Down
- Cleans up the pool deck and surrounding areas, take out trash, put items away in the swim team closet, and tasks as assigned. Must be able to lift heavy items.
Recycling Coordinator
- Responsible for making sure swimmers and parents are putting their trash in the trash cans available, and encouraging the use of the appropriate recycling trash cans.
- Conducting laps around the rec center (inside and outside) to ensure no trash is left on the ground.
- Piranhas team are required to look after the Recreation center when Piranhas is using it, and encourage recycling.
Subs
- Fill in where needed, as requested by the Meet Directors.
- If not directed by the Meet Director to do something else, distribute drinks to the meet workers and relieve meet workers as needed.
Starter
- Starts the heats, announces stroke and age group information and communicates with the timers.
- Keeps the meet running quickly and efficiently, calling everyone to attention to begin each heat.
- Attending a Stroke and Turn clinic is required before attempting this job. The Starter must be approved by the Board prior to the beginning of the season.
Stroke Judges
- Observe and provide feedback to the coaches as to stroke violations during regular season meets.
- Disqualify swimmers with stroke and turn violations during prelims and finals.
- Stroke judges must have stroke judge training and be available for multiple meets. Previous swimming experience is preferred. Please contact a board member or Coach Tim for more information and to volunteer for this role.
